For integrated accounts (accounts that have records flow into their environment from their Electronic Health Records provider, or EHR) Trella Health Edge uses a Rep Key to set the ownership of order or referral records. When a new user has been added, they need to have their Rep Key added to the Trella Health environment to ensure that their orders or referrals are properly assigned to them. Adding the Rep Key also makes the user available for manual ownership assignment of orders or referrals. This article walks through adding a Rep Key for a user.
Note: Rep Keys (also knows as Marketer IDs, Sync IDs, etc.) are ID numbers created by the EHR and not by Trella Health. This ID number will need to be obtained from your record provider to be entered into Trella Health. Rep Keys will generally only exist when the new rep has been added to the EHR system and has an order associated to them. Please reach out to the appropriate records provider to obtain the Rep Key number.
To add a Rep Key for a user, start by clicking on the Admin link in the left navigation menu.
On the Admin page, click on the Ownership tab.
Click the Add Ownership button at the top right of the tab.
On the Ownership Details page, there will be 5 steps to take:
- Click the User radio button.
- Click the User field and select the appropriate user in the pop-up window. Users can be removed by clicking the Trash Can icon at the far right of the User field.
- In the Rep Key field, enter the ID for the user provided that was provided by the EHR.
- In the Import Office field, select the appropriate office or location this user is associated with. Incorrect import offices can be removed by clicking the Trash Can icon at the far right of the Import Office field. Note: only organizations with multiple EHR connections will have more than one Import Office field to choose from.
- Click the Add button.
The user's Rep Key has now been added to Trella Health and all future order or referral records associated to their ID number will be assigned appropriately. Any historical records that came in prior to the Rep Key being added will need to be manually assigned.
